Job Description

Volunteer Coordinator of St. Paul’s United Church 

Purpose of the Position:   The Volunteer Coordinator will implement the project entitled, “We Are Not Alone: Revitalizing Outreach at St. Paul’s.”  

  • The Volunteer Coordinator will review current outreach activities and create a strategy for increased volunteer capacity (recruitment, retention & training) and determine goals to support existing outreach activities and develop new initiatives to reduce social isolation in the community.
  • The individual will provide support to revitalize and evaluate the outcomes of outreach activities for individuals and families, to improve their well-being and lessen feelings of isolation.
  • This position requires an individual who is enthusiastic, innovative, and a self-starter who demonstrates passion for volunteer leadership, education and community engagement. They will possess a collaborative attitude, ability to work independently and as a team member to develop a sustainability plan to continue outreach programs. 

 

Accountability and Performance:

The Volunteer Coordinator is accountable to the Community Services Recovery Fund Advisory Committee (for day-to-day operations), the Ministry and Personnel Committee (for performance review) and, ultimately, is accountable to the Official Board of St. Paul’s United Church. 

Terms of Employment:

This is a Part Time Term Position working 12 hours per week with a flexible schedule (to be determined) until June 30, 2024. 

Duties and Responsibilities: 

  • Identify and support the needs of our volunteers and outreach programs, provide volunteer engagement opportunities, and develop a comprehensive volunteer recruitment, selection, and retention process. 
  • Assist current committee chairs to support various outreach activities. 
  • Identify and assess learning needs and appropriate methodologies to support the health and safety of volunteers and participants in various outreach activities. 
  • Develop strong rapport with volunteers, staff and community partners. 
  • Develop, implement and revise documentation, policies and procedures (including volunteer database) for the volunteers using best practices, safety, accommodation, and confidentiality. Obtain police checks for volunteers working with children and vulnerable adults. 
  • Develop volunteer appreciation events including volunteer acknowledgements and national volunteer celebrations. 
  • Provide written and oral reports as required to the CSRF Advisory Committee & Funder. 
  • Submit notices and information about Volunteer Activities through the CSRF Advisory Committee. 
  • Working with the CSRF Advisory Committee, develop an outreach evaluation strategy and assessment tools to measure program effectiveness in the community and obtain input from volunteers, key stakeholders, participants in outreach activities (i.e., Satisfaction Surveys). 
  • Make summary recommendations at the end of the contract for future work and to transition ongoing work at that time. 

Qualifications: 

  • Experience as a volunteer coordinator in a not-for-profit environment, preference in volunteer management or community engagement.
  • Post secondary education degree or diploma in human resources, business management, recreation & leisure, or related field.
  • Strong interpersonal skills, excellent written and verbal communication skills.
  • Demonstrated proficiency in Microsoft Office tools, including Word, Excel, and PowerPoint.
  • Ability to be flexible in a busy work environment. Hybrid work is possible; shared office space is available. Evening and/or weekend commitments may be required on occasion.
